This approach is faster and creates better documentation than trying to write everything yourself.

Step 3: Set Clear Communication Expectations

Establish from day one:

  • Which communication tool to use for what (email, Slack, etc.)

  • How often you'll check in (daily, weekly)

  • What constitutes an emergency

  • How to escalate issues that need your attention

Step 4: Give Them Agency to Improve

The best VAs don't just follow instructions—they improve systems:

  • Ask them to identify inefficiencies in your current processes

  • Encourage them to suggest better ways to handle tasks

  • Give them permission to implement small improvements without approval

  • Review larger changes together
